    User Creation and Management

    The User Management module in O2Vend enables streamlined creation, editing, and monitoring of users across all system levels.
    This ensures efficient role-based access control, secure operations, and accurate data management within the O2Vend Back Office.

    Each user role determines permissions and the modules that can be accessed, providing a structured and secure business workflow.


    User Roles Overview

    O2Vend supports multiple user categories, each with specific access privileges and system functions.

    • Administrator – Full access to configure settings, users, and system modules.
    • Customer – Limited access to personal account details, orders, and purchase history.
    • Employee – Assigned store, billing, cashier, or delivery operations based on type.
    • Vendor – Manages supplier details, product sourcing, and purchase records.

    🔑 Proper role assignment ensures operational security and workflow efficiency.


    Steps to Create a New User

    1. Log in to the O2Vend Back Office.
    2. Navigate to Settings → Users → Users.
    3. Click Create User in the top-right corner.
    4. Fill in the following fields:
      • Full Name
      • Username / Email
      • Password & Confirm Password
      • Phone Number
      • User Type (Administrator, Customer, Employee, or Vendor)
    5. Click Save to complete the process.
    User Creation and Management

    General Information Fields

    Full Name

    Displays the complete name of the user across reports and dashboards.

    Employee Code

    A unique identifier for tracking employee records and internal references.

    Birthday Date

    Captures the user’s date of birth if enabled in User Date Setup.


    Login and Contact Details

    Use Email as Username

    When set to True, the user’s email address becomes their login credential.

    Email

    Used for login authentication, communication, and password recovery.

    Phone Number

    Captures the user’s primary contact number, often used for alerts and verification.


    Additional Configuration

    Locations

    Assigns warehouse or store locations to the user.

    Managed under Inventory → Warehouse.

    Branches

    Links the user to a specific branch for performance tracking and reporting.

    Channels

    Defines the operational channel, such as Online Store, Retail POS, or Distributor.

    Timezone

    Assigns a time zone to ensure accurate time-based reporting and log tracking.


    User Types and Permissions

    Each user type in O2Vend comes with pre-defined permissions and modules.

    • Administrator – Manages all settings, users, and configurations.
    • Vendor – Controls product supply, pricing, and procurement data.
    • Employee – Handles day-to-day store and sales operations.

    Administrator Role

    Administrators have unrestricted control over system configuration, including:

    • Creating and editing users
    • Assigning permissions
    • Managing store locations and employee access

    Employee Types

    Defines specific operational roles within the O2Vend system.
    Multiple roles can be combined for multi-department functions.

    Employee Type Description
    Store Manager Oversees daily store operations and monitors performance.
    Billing Employee Handles invoicing and payment processes.
    Cashier Employee Manages billing counters and transaction settlements.
    Delivery Employee Coordinates order delivery and dispatch.
    Sales Agent Engages customers and tracks leads.
    SEO Handles online visibility and search optimization within O2Vend.
    ReSeller Manages B2B reselling and external distribution.
    Inventory Viewer Provides read-only stock visibility.
    Counter Sales Processes direct in-store transactions.
    Rider Manages logistics and delivery operations.
    POS Inventory Operator Handles POS stock and adjustments.
    Purchaser Oversees vendor purchasing and order management.
    Accounts Controls finance, payments, and reconciliation.
    Web Master Manages website configuration and maintenance.
    Blog Writer Creates product blogs and content updates.
    Content Manager Oversees digital marketing and product descriptions.
    B2B Handles corporate clients and wholesale operations.

    Edit User

    The Edit User section in O2Vend allows modification of existing user information, permissions, and assignments.
    This ensures that employees, vendors, and administrators maintain correct access levels and associations with relevant stores or branches.


    Reset Password

    Administrators can securely reset passwords for users by selecting Reset Password, ensuring continued account security.


    Customer Groups

    Allows assigning a user to specific customer groups for targeted marketing, loyalty programs, or reporting insights.
